How to Schedule a Teams Meeting (Outlook & Teams)
Scheduling a meeting so participants receive invites, join links, and calendar entries.
Instructions
Prerequisites
Microsoft 365 account with Exchange/Outlook access.
Teams desktop or Outlook desktop/web.
Schedule via Outlook (Desktop)
Open Outlook → click New Teams Meeting on the Home ribbon.
Fill in the To field (email addresses), Subject, Location (optional; Teams meetings default to “Microsoft Teams Meeting”).
Choose Start time and End time.
(Optional) Click Recurrence to make it a recurring meeting.
Add any details or agenda in the email body.
Click Send—participants will get an invite with a “Join Teams Meeting” link.
Schedule via Teams (Desktop)
In Teams, click Calendar on the left pane → click New meeting (top right).
In the scheduling form, fill in Title, Required attendees (type names or emails), and Date/Time.
(Optional) Add Channel if you want the meeting to appear in a specific Team/Channel.
Write meeting details or agenda, then click Save (or Send).
Attendees receive an invite via email/Teams.
Scheduling on Mobile (iOS/Android)
Open Teams → tap Calendar (bottom bar) → tap the + icon or New event.
Enter Title, tap Add participants, set Date/Time, and (optional) Location or Channel.
Tap Done (iOS) or Tick (Android) to send.
Managing Recurring Meetings
To change recurrence: open the meeting invite (Outlook or Teams), click Edit, adjust Recurrence pattern, then Save.
If you need to cancel a single occurrence, open that date’s invite, click Cancel, and choose Just this one.
Troubleshooting Tips
If New Teams Meeting button is missing in Outlook, ensure the Teams Meeting Add-in is enabled:
In Outlook, go to File → Options → Add-ins.
At the bottom, select COM Add-ins → Go…, check Microsoft Teams Meeting Add-in for Microsoft Office, click OK.
If attendees say they didn’t receive the invite, verify you used their correct email, and have them check Junk/Clutter folders.
If you can’t pick a Channel in Teams, confirm you have the correct permissions or that you’re a member of that Team.
