Outlook - Autofill With Quick Parts And Autotext

This guide explains how to quickly insert predefined text or content into Outlook messages using Quick Parts and AutoText features.

Manually typing repetitive information in emails is time-consuming and prone to errors. Quick Parts and AutoText save time by allowing users to store and reuse frequently used text or content blocks.

Quick Parts

  1. Open a new email message in Outlook.

  2. Type the text or create the content block you want to save (this can include formatted text, images, tables, or other elements).

  3. Highlight the content.

  4. Go to the Insert tab on the ribbon.

  5. Click Quick Parts in the Text group.

  6. Select Save Selection to Quick Part Gallery.

  7. Name your Quick Part, assign a category if desired, and add a description for easy identification.

  8. Click OK to save.

To insert a Quick Part:

  • In a new email, place the cursor where you want to insert the content.

  • Go to Insert > Quick Parts, then select the desired entry from the gallery.

  • Alternatively, start typing the name of the Quick Part, and press Enter or F3 to insert it automatically.

AutoText

AutoText is integrated into Quick Parts and works similarly. It allows you to save frequently used text snippets that you can quickly insert by typing the snippet’s name and pressing Enter.
