How to Join a Teams Meeting (Desktop & Mobile)

Quickly join Teams meetings via link, calendar invite, or meeting code.

 Instructions

  1. Prerequisites

    • Microsoft Teams installed and signed in.

    • An invite link, meeting code, or Outlook/Teams calendar entry.

  2. Join via Meeting Link

    • Desktop/Mac:

      1. Click the meeting link in your email or calendar.

      2. If prompted, choose Open your Teams app.

      3. In the Teams window, configure audio/video (toggle camera/mic on or off).

      4. Click Join now.

    • Mobile (iOS/Android):

      1. Tap the meeting link (in email or calendar).

      2. If prompted, choose Open in Teams.

      3. Adjust camera and mic settings, then tap Join.

  3. Join from Teams Calendar

    • Desktop:

      1. Open Teams → click Calendar (left sidebar).

      2. Find the meeting, hover over it, and click Join.

    • Mobile:

      1. Open Teams → tap Calendar (bottom bar).

      2. Tap the meeting → Join.

  4. Join with a Meeting Code

    • Desktop:

      1. Open Teams → click the Calendar icon → click Join with code (top right).

      2. Enter the Meeting ID (and passcode, if provided) → click Join.

    • Mobile:

      1. Open Teams → tap Calendar → tap the three dots (…) next to the search bar → Join with meeting ID.

      2. Enter the code → tap Join.

  5. Adjust Audio/Video Settings

    • Choose whether to Mute mic or Turn off camera before you enter.

    • To switch between devices mid-meeting, click Devices (gear icon next to mic) and select your camera, microphone, or speaker.

Troubleshooting Tips

  • If you see “We couldn’t connect you to audio,” make sure Teams isn’t muted in your OS and the correct microphone is selected.

  • If camera is black, check that no other app (Zoom, Skype) is using the camera, or try restarting Teams.

  • If the meeting link opens a browser instead of the app, choose Open in app when prompted, or copy/paste the link/meeting code directly in the Teams client.
