Solution
Quick Checklist:
Make sure the printer is on
Check paper, ink, toner, and jams
Confirm cables are plugged in or Wi-Fi is connected
Make sure the correct printer is selected
Check whether the printer is offline
Clear the print queue
Restart the printer and computer
Run the Windows printer troubleshooter
Print a test page
Remove and re-add the printer
Update or reinstall the driver
Contact IT if the issue continues
Power cycle the printer.
Turn off the printer and unplug it from the power source. Wait for 30 seconds, plug it back in, and power it on again. This can resolve temporary errors in the printer’s functionality.
Check cables or wireless connection.
For wired printers: Ensure the USB cable is securely connected to both the printer and the computer.
For wireless printers: Verify that the printer’s wireless functionality is enabled. Many printers display a blue wireless icon when connected. If needed, consult the printer's manual or manufacturer website for further guidance on enabling the wireless feature.
Confirm the Correct Printer Is Selected
Click Start
Open Settings
Select Bluetooth & devices
Select Printers & scanners
Review the list of printers
If the incorrect printer is selected, click on the correct printer then set it as the default.
Run the Windows Printer Troubleshooter
Open Settings
Select System
Select Troubleshoot
Select Other troubleshooters
Find Printer
Click Run
Uninstall and reinstall the printer.

Install the latest printer driver.
Ensure that your printer’s driver is up to date. Download and install the latest driver from the printer manufacturer's website. Outdated drivers can cause printing failures or incompatibility with newer OS versions.

Clear and reset the print spooler
Resetting the print spooler can help resolve stuck print jobs. Follow Printer - Clear and reset the print spooler to resolve any blockage that might prevent printing.
Change Printer Status to Online
For Windows 11, run the built-in printer troubleshooter from the Get Help app. This tool will detect and resolve most printer issues automatically.
To change the printer status to online manually, right-click the printer icon in the Devices and Printers window and select Use Printer Online.
Test Print
After completing the above steps, try printing a test page to verify if the issue is resolved.
